LaneCortex LLC ("we," "our," or "us"), operating under the brand Clima, is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our services.
Data Minimization Statement: We adhere to the principle of data minimization. We collect only the minimum amount of personal information necessary to provide our services and connect you with service providers. We do not use your information for purposes other than those outlined in this policy.
California Residents: We collect the following categories of personal information from you: Identifiers (name, email, phone, address), Commercial Information (property or project details, preferences, project timeline), Internet Activity (browsing behavior, form interactions), and Audio / call information when you call us (see Section 2). We use this information to provide quotes, estimates, or services, connect you with partners, and improve our services. We sell or share your information with service providers and lead aggregators. You have the right to opt-out at any time by visiting our Do Not Sell My Info page.
We collect information that you voluntarily provide to us when you fill out forms on our website. This includes:
We collect personal information from the following sources:
We use the information we collect to:
Important: By submitting your information, you explicitly authorize us to share your data with our network of trusted Partners, service providers, and lead aggregators. These third parties may contact you regarding products and services.
To provide the services you requested, we sell or share your information with the following categories of third parties:
When you call us by phone (including our emergency HVAC dispatch line), we will tell you at the start of the call that it is being recorded. We use a voice intake service to collect your ZIP code, describe your issue, and—if you agree—connect you with a local service provider.
If you reached us through Google advertising (for example, you tapped “Call” on a Google ad or called a phone number shown on our site after clicking our ad), your call may be routed through a Google forwarding number. When Google Ads call reporting and call recording are enabled for our account, Google may also record the call to measure ad performance and evaluate whether the call was a qualified lead. Under Google’s program, those recordings are generally kept for up to 30 days in the Google Ads account, are not downloadable by us, and are automatically deleted after that period. Google may play its own notice to callers when recording applies. See Google’s call recording help for more detail.
Our copy of the call. Separately from Google, we retain an encrypted audio recording and transcript in our own private, access-controlled cloud archive (hosted by Cloudflare) for quality assurance, dispute resolution, and legal compliance. Content is encrypted before storage and the storage service also encrypts data at rest. This archive is our long-term record when we need to review what was said on a call; it is not the same as Google’s temporary 30-day Ads copy.
If you dial our published toll-free number directly (not through a Google forwarding number from an ad), Google’s temporary recording described above typically does not apply; our recording and secure archive still may.
If you use our Talk Now voice assistant in the browser, information you provide during the call may be held temporarily in encrypted server session storage to run the call and show your review screen (usually for the duration of the call, removed when the call or review step completes, and automatically deleted within 30 minutes). That temporary storage is separate from the lead records described in Section 9.
Our real-time voice AI provider is configured for Zero Data Retention for conversation content—they process speech during the call but do not keep your transcript or audio after the call ends. We do not use your inputs to train AI models. We retain our own encrypted call archive and business records as described above; that is separate from the AI provider’s zero-retention setting.
For text-based AI features on the website, we apply the same zero-retention approach to provider-side storage. We may retain minimal audit metadata on our systems for support purposes which does not include your actual inputs or generated text.
By checking the consent box, you provide express written consent to be contacted via automated technology (autodialers, prerecorded messages, SMS) by us and our Partners. Consent is not a condition of purchase and can be revoked at any time.
We use cookies and tracking tools like TrustedForm to document consent. We honor Global Privacy Control (GPC) signals. If detected, we treat it as a request to opt out of the passive sale or sharing of your personal information and limit passive tracking during your session.
If you submit a service request and affirmatively check our consent box naming a specific provider, that is your authorization to share your information with that provider to fulfill that request only.
We implement SSL encryption and access controls to protect your data. In the event of a security breach that compromises your personal information, we will notify you via email or a prominent notice on our website within the timelines required by applicable law (generally within 30 to 72 hours of discovery, depending on jurisdiction). The notification will include the nature of the breach and steps we are taking in response.
We retain lead data for up to 7 years and consent records indefinitely to comply with TCPA and state legal requirements. Technical data is typically retained for 2 years.
Call recordings and transcripts we store: Encrypted audio and transcripts in our private cloud archive are kept for as long as needed for quality assurance, dispute resolution, and legal compliance—typically in line with our lead and consent retention practices, unless a longer period is required by law.
Google Ads call recordings: When Google records a call under its Ads program, Google retains that copy for up to 30 days in the Google Ads account and then deletes it. We do not control Google’s retention schedule.
California residents have the Right to Know, Delete, Correct, and Opt-Out of the sale/sharing of their info. You also have the right to non-discrimination for exercising these rights. Visit our Privacy Rights page to exercise these options.
If you are an employee, job applicant, or independent contractor of LaneCortex LLC, the personal information we collect in the context of your employment or contract is handled separately. We collect identifiers (SSN, contact info) and professional/employment history for payroll, tax compliance, and HR purposes. This data is not "sold" and is subject to specific retention and access rights under the CPRA.
Our services are not intended for individuals under 18. We do not knowingly collect personal information from children.
While this policy focuses on California law, we respect the privacy rights of all users. Residents of Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), and Utah (UCPA), as well as users in the EU (GDPR), may have similar rights to access and delete data. We strive to honor valid requests from all jurisdictions where we operate.
